Payment Terms

This is an EFT-only practice and it is contracted outside of medical aid networks. Please claim from your medical aid directly, if applicable.

Fees

Rates are negotiable: if my fees are a concern please feel free to inform me. I'm happy to discuss possible options. If I am unable to accommodate your budget, I will be happy to discuss a referral with you.

Medical Aid
Policy

This practice is contracted outside of medical aid networks. Please claim the paid amount from your Medical Aid directly, if applicable. 

 

NB: 

  • Please be aware that Medical Aids do not reimburse you for cancellations and other penalty fees charged to your account at this practice. The client/the account holder will be responsible to settle the outstanding amount.

  • There is no guarantee that your Medical Aid will cover your Counselling sessions. I ask that clients carefully consider this and be familiar with the available funds and procedures to process claims for psychological services (video-conferencing, telephonic, and in-person psychological services) with their Medical Aid before we begin our Counselling work together.

Medical Aid Disclosure 

Medical Aids requires the Counsellor to submit an ICD-10 (International Statistical Classifications of Diseases and Related Health Problems – Version 10 developed by the World Health Organization for international use in the collection of morbidity and mortality information) diagnostic code in order for your claim to be processed by them. The client has the right to request the use of a non-disclosure code, but the possibility exists that your medical aid may refuse reimbursement based on this. 

  

Payment

​Full fees are payable is due three (3) days before the start of a session. For example, if the Counselling session is reserved for 10 April, full payment and POP are due by or on 7 April.

Proof of Payments

POP should be sent to nayanas.georgerc@gmail.com containing the reference details as provided in your invoice.

Late
Payment 

Unpaid balances will be charged a set penalty fee if they are not settled within the agreed-upon payment period.

 

A penalty fee of: 

  • R150 will be charged for late payments made within the same week, and a 

  • R250 will be charged for late payments made in the next business week.

No shows,  
Cancellations & Refunds 

Cancellations

Appointment cancellations made less than 24 hours prior to the appointment or after 12h00 the preceding Friday (if your appointment is on a Monday) will be charged for in full.

On-going Late Arrivals, Cancellations or No-shows

If you miss three (3) consecutive sessions without informing me, your Counselling time will be given to clients on my waiting list. You can contact me and reschedule your appointment to resume counselling.  

​

Refunds

Refunds (including deposits) will be issued if cancellations are made more than 24 hours prior to the appointment or before 12h00 the preceding Friday (if the appointment falls on a Monday). 

Outstanding 
Balance

Clients are not permitted to carry a balance of their fees to the next session, including incurred penalty fees. 

All upcoming appointments will be cancelled until payment is received for the outstanding balance, including incurred penalty fees.

If you are unable to pay the balance, including incurred penalty fees, we will discuss whether it makes sense to pause your care or develop another strategy for your continued care. 

Late Arrivals

It is understandable that occasionally you may be late.  If you are late to your session, please understand that the session will not extend past the scheduled time, nor will the time be made up at future sessions, as this will impact other clients I see. 

The session will be charged at full price for late arrivals.

Longer sessions are available by request and upon the availability of my schedule at a prorated fee. During the first few sessions of counselling, I may extend the scheduled session time. Unless I extend this time, I ask that you please respect your session time.

Additional
Counselling Services + Fees

Other services include: 

  • attendance at meetings with other professionals (pre-authorised),

  • preparation of records or treatment summaries,

  • and the time spent performing any other professional service requested of me.

Fees and payment methods for these additional services will depend on the workload and time spent performing the service(s) requested of me and will be agreed upon with the client before I engage in such service.  

Annual Fee
Increase

Fees are reviewed each year, in accordance with the HPCSA guidelines, and may increase on 1 Feb of the new year. A 30-day notice will be given prior to the increase. Please feel free to discuss any concerns you may have with fee increases. We can discuss possible options for your continued care. If I am unable to accommodate your financial situation, I will provide you with referrals.
